Windows 11 Upgrade Deadline Approaching – Microsoft has announced the end of support for Windows 10. If you’re using an eligible university-managed device, it will need to be upgraded to stay secure and supported.
UMS has the tools, timeline, and support in place to help make the transition as smooth as possible. You must upgrade to Windows 11 by August 1.

Behind the Scenes of the
Technology Review Process


🛠 A Faster, Friendlier Technology Review Process
When you request a software technology review, it kicks off an important behind-the-scenes process – making sure that what you use is secure, accessible, and aligned with University of Maine System (UMS) guidelines. But until recently, that process could be time-consuming and confusing.


That’s why UMS Information Technology (UMS IT), in collaboration with campus Equal Opportunity and Disability Services offices, redesigned the Technology Review process from the ground up. The result? A faster, more user-friendly experience that gets you the support you need – without the red tape.


🚀 What’s New:
A simpler form with 50% fewer questions (launching in July)
Review times cut in half – most reviews now take under 10 days on average.
A new checklist-based accessibility plan to support those without ADA expertise
Expert support is built in – you’ll get guidance, not guesswork
These changes make it easier for you to get your tools approved, and safer for the entire UMS community. By participating in the review process, you reduce risk, gain peace of mind, and ensure the tools you use are fully supported.

🎉Systemwide Course Search is live in MaineStreet
When students logged into MaineStreet on May 15, they found something new. For the first time, they could search for courses across all University of Maine System campuses in one place. What they didn’t see was the effort behind the scenes that brought this tool to life.
UMS Information Technology partnered with student systems experts from every campus and technology provider HighPoint to design and launch the new tool on a fast-moving timeline. The team focused on delivering real value to students in time for fall registration without disrupting existing systems.

Real-time updates reflect the latest course changes as they happens
Direct registration from search results – available to eligible students in MaineStreet

Open Gmail Settings (gear icon > See all settings).

What could have caused widespread disruption instead became a routine 4 AM hardware swap, thanks to proactive planning and fast action from IT.

Printing Service Interruption

Our campus ID card services system will be offline for maintenance on July 15th. If you use your ID card for printing, making purchases, or managing funds, please review the guidance in advance to avoid any disruptions.
Impacted services – plan ahead or use alternate methods
Printing and copying: ID card swipes won’t work. All users will need to log in manually.
Students only, select the shared account “UMS08 – Transact Upgrade.” 
Faculty & staff, or others with existing department accounts, may continue to select those.
Card funds and purchases: You won’t be able to use personal funds for printing or purchases, and off-campus purchases won’t go through.
Account access: Transact eAccounts accessed via the mobile app or myCampus will be unavailable.

MaineStreet Marketplace Service Interruption

MaineStreet Marketplace will be unavailable this coming weekend while system maintenance is performed. 
Maintenance will take place from Friday, July 11, 9 pm ET through Sunday, July 13, 12 pm ET 
All access to MaineStreet Marketplace systems, including email approvals, will not be available during the maintenance window.

UMS:IT Live Chat Support Outage

The UMS-IT LiveChat Support Chat Service will be temporarily unavailable from Fri-July-04 through Sun-July-06 for scheduled service provider maintenance. Please use phone or email to request support or report issues.

Microsoft OneDrive Storage Updates

Microsoft is no longer providing Microsoft 365 unlimited storage for faculty, staff, and students. The University of Maine System now has a shared storage pool for all Microsoft 365 products. Starting on June 11, 2025, individual OneDrive quotas have been implemented to manage this resource. Your current quota was set to ensure you have at least 10% space remaining (or 50GB, whichever is smaller).
Default quotas are:
Employees & Retirees: 20GB
Students: 10GB
Other: 1GB
If you’re nearing your limit (within 5%), or if you need an increase, please submit a request using this form. We encourage you to review and delete unneeded content and consider moving departmental files to SharePoint to optimize storage and prevent duplicates.

PaperCut Maintenance Service Disruption

When Will This Occur?
The upgrade will take place on Sunday, June 8th, 2025, between 6:00 AM and 10:00 AM EDT.
What’s Happening?
We’re upgrading our PaperCut servers from version 23.0.9 to 24.1.7 to improve security, enhance troubleshooting, and boost the responsiveness of the PaperCut software on Xerox copiers. As part of this upgrade, Print Deploy Clients will also be updated.
What Does This Mean for You?
Printing, copying, and scanning will be unavailable during the upgrade, from approximately 6:00 AM to 8:00 AM EDT.
After the upgrade, users that print with UMS-FindMe or UMS-BYOD-FindMe queues, won’t notice any changes.

Enterprise Oracle Database (ExaData) maintenance scheduled for Thursday, May 1st at 9 am ET for several hours. No service disruption to UMS applications expected.

Windows 11 Upgrade Information

The University of Maine System is initiating the final phase of Windows 11 upgrades, ahead of Microsoft’s October 14, 2025, end-of-support date, with an internal enforcement deadline of August 1, 2025, after which remaining devices will automatically upgrade. Users will receive Targeted emails and pop-up notifications directing to a dedicated support site offering upgrade steps, help desk contacts, and Windows 11 Upgrade Process FAQ.

macOS Sequoia Available

Starting December 16th, 2024macOS Sequoia will become available for managed devices to self-upgrade via Apple Software Updates or the Apple AppStore.  Users will have the option to install and upgrade their Apple Mac device to the latest operating system before it becomes fully recommended in the Spring.  In May 2025macOS Sequoia will be required for all supported devices. 

Zoom AI Companion

UMS: IT is pleased to announce the availability of the Zoom AI Companion for all University of Maine System account holders. This AI-powered tool is designed to improve productivity and collaboration across Zoom products such as Meetings, Team Chat, and more. Some key features include:
Meeting Summaries: Automatically generate summaries and action items.
Smart Recordings: Organize recordings with highlights, chapters, summaries, and analytics.
Information Summarization: Summarize chat and meeting threads.
Email Compose: Compose and reply to emails with suggested content.

Data is protected to the same standard as other Zoom data. However, HIPAA-protected information, Export Control data, and Department of Defense – Controlled Unclassified Information must not be used with Zoom AI Companion.

Multi-Factor Authentication (MFA)

MFA will be required for all faculty and staff starting on January 1, 2025. If you haven’t already enrolled in MFA, it is recommended to do so prior to January 1, 2025.
