Let Automation do the Sorting
Use filters to sort messages automatically, making batch processing effortless:
Click the search bar
Enter sorting criteria (sender, subject, etc.)
Select ‘Create filter’ > Choose action

Stay Focused, Reduce Email Noise
Mute non-essential email threads to cut distractions from endless reply-alls. Gmail hides muted threads but keeps them saved:
Open the email thread you want to mute.
Click the three-dot menu at the top.
Select “Mute”—the thread moves out of your inbox but stays saved under the “muted” label.

Send Emails with Confidence
Use ‘Undo Send’ to quickly retract emails:
Open Gmail Settings (gear icon > See all settings).
Under the General tab, find “Undo Send” and choose a cancellation period (5-30 seconds).
Click “Save Changes”—now, after sending an email, you’ll see an “Undo” option to retract it.

MFA Deadline January 1st
Multi-Factor Authentication (MFA) is now available for all faculty and staff. MFA is an enhanced level of login security for your UMS account that adds a layer of protection to your digital identity by verifying that the person attempting to access your account is really you!
Tempest WIFI Sunset
The University wireless network Tempest, dating back to the late 90s, is being decommissioned December 31st. Switch to Eduroam today! Eduroam is a robust and secure network designed for all portable administrative, academic staff, and student devices.
Update to Windows 11
Windows 11 in-place upgrades are now available for faculty and staff devices. This user-friendly option allows employees to continue using their device during the installation.

Now is a great time to do some Spring Cleaning for your data storage. We offer safe, easy to use, and accessible on your devices anywhere that you have connectivity. The University of Maine System provides licensing for two major cloud storage platforms to all staff and students using your @maine.edu account.

UMS IT Reorganization

Windows 11 Sneak Peek
Beginning on June 3rd all computers deployed by UMS:IT have Windows 11 installed. Review some of the major differences between Windows 10 and 11. A separate upgrade strategy will be established and communicated in the coming months to address Windows 11 for all other existing computers.

PeopleSoft Service Interruption
On Tuesday morning, some users experienced difficulty accessing the PeopleSoft Human Resources system due to an expired security certificate, which triggered a “Your connection is not private” warning. The IT team has resolved the issue by installing a new certificate, and the system is now fully operational. We apologize for any concern or inconvenience this may have caused.
Service Interruption Notice: JAMF and UMS Application Catalog
Date: Monday, March 24th Time: 10:00 PM (Expected downtime: 60-70 minutes)
Affected Services: JAMF Web Application &UMS Application Catalog
Impact: During the maintenance window, users will be unable to install applications or redeploy macOS operating systems. This will affect all faculty and staff.
Reason for Interruption:
Affected Services: Essential maintenance is required to address space constraints and ensure the security and compatibility of the JAMF system. This involves moving the JAMF Production database to the server’s secondary drive and applying a minor update to the MySQL database service.

Important Service Interruption Notice: MaineStreet Patch Maintenance Outage
Expected Maintenance Window: Friday, March 21, 2025, from 5:00pm – 11:59pm.
What’s Impacted: MaineStreet Campus Solutions and Touchnet will be unavailable during the maintenance period.
Please note: MaineStreet HR, MaineStreet Financials, and MaineStreet Marketplace will remain accessible to users during this time.
Why is this work necessary?
This maintenance is crucial to apply several regulatory and functionality updates, ensuring the system remains up-to-date and performs optimally.
We appreciate your understanding as we perform this necessary maintenance to improve the MaineStreet system. Please plan accordingly for this temporary disruption.
Important Service Interruption Notice: MaineStreet Patch Maintenance Outage
Please be advised that all Campus Solutions applications, including Student Self Service and Faculty Self Service, will be unavailable from 5:00 PM on Friday, March 21st, 2025, through approximately 12:00 PM on Saturday, March 22nd, 2025.
During this maintenance period, some account management functions within the Userid Manager will also be affected due to its connection to the Campus Solutions database.
What will still work:
Logging in to Google Mail
Accessing the campus portal
Other usual online activities

You will not be able to pay for printing with personal funds.

macOS Sequoia Available
Starting December 16th, 2024, macOS Sequoia will become available for managed devices to self-upgrade via Apple Software Updates or the Apple AppStore. Users will have the option to install and upgrade their Apple Mac device to the latest operating system before it becomes fully recommended in the Spring. In May 2025, macOS Sequoia will be required for all supported devices.
Zoom AI Companion
UMS: IT is pleased to announce the availability of the Zoom AI Companion for all University of Maine System account holders. This AI-powered tool is designed to improve productivity and collaboration across Zoom products such as Meetings, Team Chat, and more. Some key features include:
Meeting Summaries: Automatically generate summaries and action items.
Smart Recordings: Organize recordings with highlights, chapters, summaries, and analytics.
Information Summarization: Summarize chat and meeting threads.
Email Compose: Compose and reply to emails with suggested content.

Data is protected to the same standard as other Zoom data. However, HIPAA-protected information, Export Control data, and Department of Defense – Controlled Unclassified Information must not be used with Zoom AI Companion.

Multi-Factor Authentication (MFA)
MFA will be required for all faculty and staff starting on January 1, 2025. If you haven’t already enrolled in MFA, it is recommended to do so prior to January 1, 2025. Please see us at our walkup Help Desk at Fogler Library, or call (800)-696-4347 with any questions or for assistance. There are links to several support articles below that pertain to MFA.
