General Administrative Support
Purpose: provides general and specific administrative, programmatic, and complex clerical support to research centers and academic departments at the University of Maine.
Essential Duties & Responsibilities:
- Provides administrative support to the department or office, overseeing and ensuring the smooth functioning of all areas of coverage
- Tracks a budget, monitors expenditures, and/or performs basic bookkeeping including processing contracts, purchase orders, cash/checks, invoices
- Organizes and maintains files, databases, and email contact lists
- Orders supplies and maintains the department’s purchasing card
- Organizes conferences and professional development workshops
- Assists instructors with course setup and students with course registration processes
- Handles verbal and written communications for a broad range of questions, issues and requests in assigned area of responsibility; preparing customized memos and related communications; identifying needs of various parties to determine appropriate response
- Communicates effectively with all department constituents, including the general public, parents, students, community partners and university offices
- Commits to organizational improvement by identifying opportunities to improve and recommending possible alternatives for a situation
- Develops and maintains professional relationships that reflect courtesy, civility and mutual respect
- Performs other general administrative and reasonably related duties as assigned
