Once your proposal has been submitted and accepted by the sponsor, it enters a post submission review period. This page includes what to expect and how to stay prepared.

Following submission, sponsors conduct an administrative review to ensure all required
materials are in place before making an award decision. This review may take several weeks or months, depending on the sponsor.

During this period, sponsors may request additional information or documentation to complete their review. Typical post-submission requests include:

  • Revised Budgets (updated costs or budget justifications)
  • IRB/IACUC Approvals (for research involving human subjects or animals)
  • Verification of Facilities & Administrative (F&A) rate agreements
  • Clarification of Current and Pending/Other Support (to ensure effort commitments are accurately represented)
  • General Project Inquiries needed to finalize award decisions

For NIH proposals, these are referred to as Just-In-Time (JIT) requests. Be aware that sponsors often require very short turnaround times — sometimes just a few business days — to respond.

Important: All post-submission documents must be reviewed and submitted by the University’s Authorized Organizational Representative (AOR).

If you receive any official communication from the sponsor — such as:

  • Requests for additional information
  • Notifications of awards
  • Any correspondence requiring a response from the University
