First, ensure that your job candidate is enrolled at least half-time (six credits for undergraduates, three for graduates). Hiring student employees who do not meet enrollment eligibility is not permitted.
Confirm the details of the student’s position and have them read over the SEA Terms of Agreement. Complete an e-Auth for the student, instructions on how to complete an electronic authorization can be found here. Once you have submitted the completed e-Auth, the student employee will need to accept their position within Mainestreet before our office can send it on to Payroll for processing. Once the e-Auth is completed and the student has accepted their job on MaineStreet, the Office of Student Employment will send this information to the Payroll office. Payroll will then electronically create a job for the hired student on MaineStreet. The student will be able to enter time, update their W-4s, enroll in direct deposit, and complete the first portion of the electronic I-9 through MaineStreet once the job has been created.
Once the student completes the first portion of the I-9 online, they will then need to come into our office with their acceptable documents so that we can verify and complete the second portion of the I-9. They will need a photo identification (document that shows identity) and a document that establishes their authorization to work (such as a birth certificate or social security card). No scans or photocopies can be accepted. A passport counts both as photo identification and their authorization to work.
You or the designated Payroll Processor/ Time approver will need to go in and approve the student’s time on a biweekly basis to ensure the student is paid in a timely manner.
Paychecks will be direct deposited into the student employees account if direct deposit was completed. If not, the paychecks will be mailed biweekly to the students’ mailing address that is listed within Mainestreet. Here are instructions on how to update your mailing address
