1. While filling out the final approval form to become an officially recognized student club, Kat discovered an item of concern. This item asks: What individual or group shall be legally responsible and accountable for the functions and activities of your group? Kat asked several people about the issue, but did not receive a response that made her or any other officers of the association comfortable with signing the form. She then made an inquiry to the free legal services provided to all students to find, not surprising, that they could not advise us because they work for Student Government. At this point, Kat edited the line to remove the word ‘legal,’ and would submit the form later that afternoon after Barbara had made copies. Kat would find out if it would be possible for us to apply for funds even if we became an official club the following week. This will impact our plans to recognize nontrads graduating this fall.
2. Discussion ensued regarding the need to revise our bylaws for nomination and election of officers. Due the vacancy in the Secretary/Treasurer position, Lisa Chapman was nominated and elected at an earlier meeting this year, but our bylaws do not account for this situation, so we propose some additional text. Following is the affected section of the bylaws with the additional text in capital letters:
ARTICLE IV – Officers
The officers of the association shall be a President, Vice-President, and Secretary/Treasurer. Officers shall serve until a successor is elected. Elections will be held during April each year OR AS NECESSARY TO FILL VACANCIES. Sufficient notice of the dates of nominations and elections must be given to all registered members.
3. We then discussed how to hold elections to allow all registered members, not just those present at meetings, to vote. Barbara suggested use of a ballot box in the Commuter Lounge. Since it is normally staffed during open hours, the staff person could handle checking off names as people voted. Provided there is no strong opposition to this procedure, we will implement it at the next election.
4. Barbara informed us that there are over 160 nontraditional students graduating this fall. She will send a note to these students asking if they would like to be recognized.
