Tools and Forms for Filling Salaried (Professional) Positions - Tips for Writing a Job Announcement

  1. Be organized. Group related information together and convey it in a logical manner. For example, begin by describing the position, (title, tenure-track, ongoing, fixed length, work year, full or part time, renewal contingent upon funding); list responsibilities and duties (usually starting with the primary or most important), and then move on to required and preferred qualifications. Follow with information on the application process. End with The University of Maine’s non-discrimination statement (see below).
  2. Be concise. Clearly and succinctly state the required and preferred qualifications (degree, license, certification, communication skills, etc.). Make sure that the duties and requirements stated match those listed in the job description. (Job descriptions are required for professional positions, but not faculty.) Remember that the criteria specified in the job announcement, which must be job-related, are the ones you will use to judge and rate the candidates.
  3. Save money. It is often possible to use an abbreviated ad that includes the title, and contact information, and refers applicants to a web site and address for more information. Your recruitment strategy should include information about the ads which you wish to abbreviate.
  4. Include at least the following statement in every announcement: “The University of Maine is an EEO/AA employer.  All qualified applicants will receive consideration for employment without regard to race, color, religion, sex, national origin, sexual orientation, age, disability, protected veteran status, or any other characteristic protected by law.”
  5. Avoid “magic numbers.” Instead of requiring 3 years experience, ask for several years or substantial experience. The Equal Employment Opportunity Commission requires that minimum qualifications be job-related. It is usually difficult or impossible to justify a specific number of years, unless it is related to certification requirements in the discipline.
  6. Use “review of applications will begin on…” rather than “application deadline.” Any applications received after a published deadline, no matter how impressive, cannot be considered. Review should begin no less than three weeks after the date that the announcement is last published or posted.
  7. Describe salary range (If applicable).Ads for UMPSA positions (represented professionals) must include the proposed salary range on all campus postings (Jobs.umaine.edu, FirstClass, etc.). A salary range is not required for non-represented salaried or faculty positions. Appropriate background checks are required. I.e. “Proposed Hiring Salary Range: $____ – $____ “. A salary range in not necessary for non-represented salaried or faculty positions.
  8. Include any other pertinent information. Clearly state materials required to be submitted as part of the application, for example: transcripts and/or copy of a required license or certification.
  9. Use non-discriminatory language. You may not use language that could have a discriminatory impact. For example, you may state, “Must be eligible to accept employment in the United States,” but not, “Must be a U.S. citizen.” Likewise, when travel is an essential function of a job, you may state “Ability to travel, normally requiring a valid driver’s license,” but not “Must have a valid driver’s license,” which may discriminate against individuals with certain disabilities.
  10. Use the correct University mailing address. Example: 5754 North Stevens Hall, Orono, ME 04469-5754. The correct four-digit building zip code is listed in the campus directory.

Example Job Announcement for Faculty/Salaried position

University of Maine
Assistant Professor
Department of Communication & Journalism

[The first paragraph should include brief information about the position.] The University of Maine, Department of Communication & Journalism is seeking a qualified candidate to fill a faculty position at the rank of Assistant Professor in Mass Communications & Media. This is a tenure-track position, and the majority of time will be spend on teaching duties.

Responsibilities and Duties:[This should include all day to day duties that the candidate would be doing. Also include partnerships, required work hours if necessary, and other duties from the job description.] Teach 4 courses/sections per semester in the Communications & Journalism department. Advise undergraduates in their programs of study and aide them in the registration process. Work closely with the Department of English to develop cross-functional courses and projects. Maintain regularly scheduled office hours for advising and aiding students. The position will begin on September 1 and will be a full-time academic year appointment.

Minimum Qualifications: [Include all necessary job-related qualifications, as well as preferred qualifications (generally in order of priority). Remember that these criteria are those that the search committee will use to rate and judge candidates.] Doctorate in Communications & Journalism or related field. Several years of experience in mass communications and media preferred. Experience in teaching or consulting preferred. Excellent written and oral communication skills necessary.
