An organization’s most valuable resource is its employees. For an organization to be truly successful, it must ensure that those employees have clear directions, necessary training and support, as well as clear feedback from their supervisors. Ideally, feedback should be timely, job related, and constructive. The performance assessment process is the formal forum for supervisors and employees to acknowledge strengths, identify professional development opportunities, and establish goals beneficial to achieving both individual and team successes. The UMPSA (PDF)agreement contains the only form available that is approved for use in the evaluation of UMPSA unit members. A department may use an alternative form that has been reviewed and certified by the Assistant Vice President of Human Resources.
During the employee’s probationary period, reviews should be completed after the first six months and at least every six months thereafter. After the probationary has been completed, a evaluation should be performed within the 30 day period preceeding the aniversary of employee’s hire date. A department may establish an alternative elvaluation schedule. If the evaluation is not completed within 30 days of its due date (the hire date of the employee), the evaluation will be considered satisfactory for the year.
The department head or supervisor should monitor the evaluation dates of employees who report to him/her to ensure that the employee is informed of an upcoming evaluation.
A copy of the completed evaluation should be placed in the employee’s official personnel file in the department. It is not necessary to forward a copy to Human Resources.
To monitor the effectiveness of the performance assessment process, the University of Maine System will annually collect summary data on completed reviews by the vice presidential area.
