4-H Club Program - Cumberland Fair 2013 – 4-H information

4-H Member Information Packet

Cumberland Fair gives you an opportunity to demonstrate what you have learned in 4-H during the year. The information in this packet/page will help you to prepare your projects, enter them into the fair and plan for your Cumberland Fair experience.

Information Checklist for entering the 4-H Exhibit Hall

  • Review the 4-H exhibit section of 2013 Fair book .
  • Review the exhibit and show rules for your project area.
  • Note the day and time you need to be at the fair. We have also included the 4-H Schedule and 4-H Exhibit and Livestock Information
  • Tell your 4-H leader what you will enter in the Exhibit Hall by September 1 st. You need to know exactly what you will exhibit so that your Fair Entry and combination Exhibit / Judging Card will be filled in properly. 
  • REMINDER: Only one entry per project area. You or your leader can register your projects for the Exhibit Hall. Leaders need to complete a Exhibit Hall Entry form for all exhibits entered by their members, please submit this by September 1st.

Exhibit Hall Entry Form- Closed

  •  You will need to complete a Life Skills Wheel and Exhibit/Judging Card for each entry, please contact the office 781-6099 or 1.800.287.1471 or ask your leader for Life Skills Wheels and/or Judging cards:

Life Skills Wheel- It is important that you complete a Life Skills Wheel for each project. This information is a great way to let us know what you learned this year doing your project and we report all of this information to the state. Please remember there are two sides to the Life Skills Wheel. If you have questions about filling out the life skills wheel, please give the office a call. It is fine to ask your parents/advisor/leaders for help.

Exhibit/Judging Cards- Please fill out the entire judging card for each project. Make sure Unit Level is indicated, as well as number of years in project. You will need to have a judging card and Life Skills Wheel for each project exhibited at the fair. If you need additional judging cards and Life Skills Wheels, please contact your leader or call the office, 207.781.6099 or 1.800.287.1471.

 

 

 

 

 

 

 

 

Additional Fair Information

  • Update your 4-H Project Records for each project area that you enter. Your leader may ask to view them before you show.
  • If you are age 13 through 18 as of January 1, and are entering exhibits at the fair you will be using your 4-H enrollment card as your fair pass to get into the fair this year. These have been mailed to you.  If you did not receive one or have lost your card, please contact Lisa Waters at 207.781.6099 or e-mail lisa.waters@maine.edu. The deadline to request an enrollment card will be Wednesday September 18th. The Farmers Club has requested that we keep a detailed record of who we give passes to. Those 12 and under are admitted free and will not need to show their enrollment cards to get into the fair.
  • Sign-up to help at the fair– and encourage parents, grandparents and friends to volunteer too! Senior 4-H members and adults are encouraged to help in the 4-H kitchen, hall, and raffle pig booth during fair week. Leaders will be scheduling times. Please contact Nicole Foster 207.615.7558 or 4Hkitchencentral@gmail.com if you would like to volunteer.
  • If you would like to volunteer selling tickets in the 4-H Raffle Pig booth,Nicole Foster will be taking those sign ups as well. Please contact Jenn Grant if you would like Pig Raffle tickets to sell at 207.839.4334 or findviewfarm@juno.com.

Information Checklist for entering 4-H Livestock and Small Animal

  • Make sure you meet the age requirements for showing your animal. Large animals (sheep, swine, beef, horse, dairy goats, steer, and dairy cattle) can be shown by 4-H’ers who are at least 9 years old as of January 1, 2012. Rabbits and Poultry may be exhibited by 5-8 year olds in a non-competitive activity.
  • Complete your Livestock Entry form 2013 which is enclosed. Complete it and mail it directly to: Mark Cooper, Superintendent, 81 Chute Road, Windham, ME 04062 by September 1st. No Late Livestock Entry Forms will be accepted this year. Swine and Market Hogs must show proof of Brucellosis and Pseudorabies test. Health forms must be submitted with entry form. Extra entry forms can be obtained on-line, from your 4-H Leader or the Extension office. Please remember to have your Animal Approval forms with you at the fair.

Submit your Maine Association of Livestock Exhibitors Form (MALE). The Farmers’ Club, who oversees the Cumberland Fair, requires all 4-H livestock members to join the Maine Association of Livestock Exhibitors (MALE) except poultry and rabbits. By joining this association, you will have the minimum insurance requirement ($300,000) that the Farmers Club requires of all livestock exhibitors at the Cumberland Fair. Members showing poultry and/or rabbits do not need proof of insurance. We have attached a (MALE) Membership Application for you to fill out and return.

Complete any necessary vaccinations, including for rabies. It is strongly recommended that all animals be currently vaccinated.

Decide if you want to participate in the Calf Scramble. If you have ever thought you would like to raise a steer, this is a great opportunity! Calf Scramble guidelines and application for this event are listed in the enclosed copy of the 4-H section of the fair book. For more information, you may also call Mark Cooper at 207.892.7276.

Include a copy of your Coggins test if you are a Horse member. Entries need to be returned by September 1st to Mark Cooper, Superintendent, 81 Chute Road, Windham, Maine 04062. Be sure to include a copy of Coggins test. All horse show participants will also need the certificate of insurance listed above.

Cumberland Fair 4-H Dog Show - This show is open to all Maine 4-H members between the ages of 9 and 18, enrolled in the 4-H Dog Project as of April 1, 2010,  regardless of prior show experience. Showmanship (Novice through Advanced) and Obedience (Pre-Novice and Novice) are the primary award winning classes. All classes are judged using the Danish System and all award winning classes come with a ribbon and premium. The dog show will be held on Friday, September 30th at 4:00 p.m. in the show arena. Important Fair Pass Information-

Club Exhibit

Please note on the top of the Cumberland Fair Exhibit Form if you are going to have a Club exhibit. Club Exhibits should illustrate some phase of 4-H Club work.  A Club Exhibit provides the club the opportunity to display as a total unit.  Clubs are responsible for all pieces of their display, including the table.

Judging Day

1. Exhibits should be brought to the 4-H Hall between 9:00 a.m. and 12:00 noon, Saturday, September 21st.

2. Judging orientation begins at 12:15 p.m. Only judges will be allowed in the hall at that time until judging is completed.

3. Volunteers are needed at 9:00 a.m. to help check-in projects as they arrive (see Volunteer Information sheet).

4. Volunteers are needed at 3:00 p.m. to arrange the hall after judging (see Volunteer Information).

Note: If your display is larger than the tri-fold display board (36” x 48”),
please contact the Extension office at 207.781.6099 or 1.800.287.1471 by September 3rd.

4-H Leader Information

  • Leader Passes will be issued when you check in at the exhibit hall on Saturday. Leaders with livestock entries should contact the livestock superintendent/office for gate pass information. This year 4-H members will use their enrollment cards as a pass to get into the fair.  These have been mailed to each 4-H member directly.  Please check with your members to make sure they have received their cards.
  • Premium checks Livestock members must check with the Cumberland Fair Livestock Superintendent/office regarding picking up their premium checks. Club leaders may pick up their exhibit hall premium checks from Sarah Sparks, Sunday October 2nd, from 9:00 a.m. to noon.
  • Leader Start-Up Packets for the new 4-H year will be available for leaders to pick up at the 4-H Exhibit Hall Saturday, September 21st from 8:30 a.m. – 4:30 p.m. They may also be picked up at the 4-H Exhibit Hall daily.
  • Livestock Entry Forms are due by September 1st- (NO Late Entry Forms will be accepted this Year!)

Parade Information

Rules:

a. Review the Parade information in the 4-H Section of the fairbook.

b. Floats must be ready and on grounds at 8:00 a.m. for the judging at 8:30 a.m., Saturday, September 28th.

Parade and Float Entry Forms:

a. Please fill out the Parade Form 2013 and create a short, TYPED, commentary for your float, and mail to: Cindy Frye, 10 Keswick Road, South Portland, Maine 04106. This form must be mailed to her by September 5, 2013.

b. Please indicate on the parade entry form that it is a 4-H float.

WORKDAY PLANNED:

There will be a “Work Day/Evening” Thursday, August 15th  from 5:00 pm to 6:30 pm for 4-H’ers, leaders, parents, grandparents and friends at the fairgrounds. Pizza, drinks and dessert will be provided from 6:30 pm- 7:00 pm for all those who come and help. The hall always needs a good cleaning for the fair.

PROMOTING 4-H:

The Fair is a great opportunity to get 4-H before the public eye and show people 4-H makes a difference in the community and that club members are developing superior citizenship skills. If your club has participated in a community service project and has display materials depicting the project, please include them in your club display.

RAISING MONEY FOR OUR COUNTY PROGRAMS:

It can’t be said often enough that the Cumberland Fair provides the Cumberland County Leaders Association an opportunity to raise a large amount of money. This is the only fundraiser that Cumberland County 4-H Leader’s Association sponsors all year. This money provides for the largest part of the Leaders Association budget and supports County Awards, Citizenship Washington Focus, Camperships, Teen Conference, 4-H Congress and Conference, 4-H Tech Conference, Mini-Forum, County Events, and Leader Forums. We really need volunteers to make the fundraising a success, so please pitch in and help us make the 4-H program in Cumberland County even stronger.

KITCHEN COMMITEE MEMBERS NEEDED:

Channel your inner short order cook and management skills and have some fun with the 4-H kitchen committee at the fair this year. We’re looking for parents, grandparents, neighbors, friends and former 4-Hers to help with this important county fundraiser for fair week. The people serving on the kitchen committee have been working together for several years so you can take that as a testament there really is some fun to be had when serving on this committee.

Some of the duties of the kitchen committee include ordering food, getting the kitchen ready before the fair, scheduling, supervising shift changes and working with other volunteers. You can decide how many hours and what day(s) you can commit to helping in the kitchen. The committee is a group of 4-H parents (current and former) as well as friends of 4-H. We’d love to have a couple of new members to spread out this committee work so it’s not too much on any single volunteer during fair week. We’re all volunteers and we want to ensure everyone has fun while giving back to such a great program.
