4-H Member Information Packet

Cumberland Fair gives you an opportunity to demonstrate what you have learned in 4-H during the year. The information in this packet will help you to prepare your projects, enter them into the fair and plan for your Cumberland Fair experience.

Information Checklist for entering the 4-H Exhibit Hall

  • Review the 4-H Section of Fairbook (Green Forms in leader packet). Review the exhibit and show rules for your project area. Also, note the day and time you need to be at the fair. We have also included the 4-H events schedule   4-H Exhibits and show information  . Tell your 4-H leader what you will enter in the Exhibit Hall by September 1st. You need to know exactly what you will exhibit so that your Fair Entry and combination Exhibit / Judging Card will be filled in properly. Contact your leader about your entries IMMEDIATELY or by September 1st at the latest. REMINDER: Only one entry per project area, please. Your leader will register you for the Exhibit Hall. As part of your project, you will need to complete a Life Skills Wheel and Exhibit/Judging Card for each entry:

Life Skills Wheel- It is important that you complete a Life Skills Wheel for each project. This information is a great way to let us know what you learned this year doing your project and we report all of this information to the state. Please remember there are two sides to the life skills wheel. If you have questions about filling out the life skills wheel, please give the office a call. It is fine to ask your parents/advisor/leaders for help.

Exhibit/Judging Cards- Please fill out the entire judging card for each project. Make sure Unit Level is indicated, as well as number of years in project. You will need to have a judging card and life skills wheel for each project exhibited at the fair. If you need additional judging cards and life skills wheels, please contact your leader or call the office, 781-6099 or 1-800-287-1471.

  • Update your 4-H Project Records for each project area that you enter. Your leader may ask to view them before you show.
  • Collect your Member Exhibitor Pass if you are 13 years or older. Your 4-H Leader will have a pass for you if you enter. Those 12 and under get in free.
  • Sign-up to help at the fair help at the fair– and encourage parents, grandparents and friends to volunteer too! Senior 4-H members and adults are encouraged to help in the 4-H kitchen, hall, and raffle pig booth during fair week. Leaders will be scheduling times. Please contact Nicole Foster 615-7558 or nicolefoster@myfairpoint.net if you would like to volunteer.
  • Register for a Camping space  if you plan on staying overnight at the fairgrounds.
  • Find a map to Cumberland Fair in your packet or click here for directions.

Information Checklist for entering 4-H Livestock and Small Animals

  • Make sure you meet the age requirements for showing your animal. Large animals (sheep, swine, beef, horse, dairy goats, steer, and dairy cattle) can be shown by 4-H’ers who are at least 9 years old as of January 1, 2011. Rabbits and Poultry may be exhibited by 5-8 year olds in a non-competitive activity.
  •  Complete your Livestock entry form which is enclosed. Complete it and mail it directly to: Mark Cooper, Superintendent, 81 Chute Road, Windham, ME 04062 by September 1st. No Late Livestock Entry Forms will be accepted this year. Swine and Market Hogs must show proof of Brucellosis and Pseudorabies test. Health forms must be submitted with entry form. Extra entry forms can be obtained on-line, from your 4-H Leader or the Extension office. Please remember to have your Animal Approval forms with you at the fair.
  • Submit your Maine Association of Livestock Exhibitors Form (MALE). The Farmers’ Club, who oversees the Cumberland Fair, requires all 4-H livestock members to join the Maine Association of Livestock Exhibitors (MALE) except poultry and rabbits. By joining this association, you will have the minimum insurance requirement ($300,000) that the Farmers Club requires of all livestock exhibiters at the Cumberland Fair. Members showing poultry and/or rabbits do not need proof of insurance. We have attached a (MALE) Membership Application for you to fill out and return.
  • Complete any necessary vaccinations, including for rabies. It is strongly recommended that all animals be currently vaccinated.
  • Decide if you want to participate in the Calf Scramble. If you have ever thought you would like to raise a steer, this is a great opportunity! Guidelines and application for this event are listed in the enclosed copy of the 4-H section of the fair book. For more information, you may also call Mark Cooper at 892-7276.
  • Include a copy of your Coggins test if you are a Horse member. Entries need to be returned by September 1st to Mark Cooper, Superintendent, 81 Chute Road, Windham, ME 04062. Be sure to include a copy of Coggins test. All horse show participants will also need the certificate of insurance listed above.
  • Cumberland Fair 4-H Dog Show-  This show is open to all Maine 4-H members between the ages of 9 and 18 currently enrolled in the 4-H Dog Project as of April 1, 2010 regardless of prior show experience. Showmanship (Novice through Advanced) and Obedience (Pre-Novice and Novice) are the primary award winning classes. All classes are judged using the Danish System and all award winning classes come with a ribbon and premium. The dog show will be held on Friday September 30th at 3:30 p.m. in the show arena. Please send in the dog show entry form below if you wish to participate in the dog show.

4-H Leader Information Packet

Now is the time when we celebrate the work that youth in 4-H have accomplished during the past year. The Cumberland County Fair (Sept. 25– Oct. 1)  is one opportunity for 4-H members to display their projects in a public arena. To help 4-H activities at the Fair run as smoothly as possible, we’ve included important information for you and your club members. Please adhere to the due dates indicated on each form.

This fair packet includes:

1. Exhibit Hall Information- Information and forms for exhibiting projects will be mailed to each leader.

2. Leader Information- Information below and will be mailed to each leader.

3. Parade Information- entry form enclosed.

4. Volunteer Information- general information regarding volunteering in the 4-H Kitchen, 4-H Exhibit Hall, and Raffle Pig Booth.

5. Calf Scramble- Application enclosed. (Please check to see if your members are interested).

6. Important Fair Pass Information-
If you are age 13 through 18 as of January 1, and are entering exhibits at the fair you will be using your 4-H enrollment card as your fair pass to get into the fair this year. These have been mailed to your leaders, please check with your leader. If you did not receive an enrollment card or if your leader did not receive one, please contact Lisa Waters at 781-6099 or e-mail lisa.waters@maine.edu. The deadline to request an enrollment card will be Wednesday September 21st. The Farmers Club has requested that we keep a detailed record of who we give passes to. Those 12 and under are admitted free and will not need to show their enrollment cards to get into the fair.

Exhibit Hall Information

Combination Exhibit Hall / Judging Cards
Every exhibit should have one of these cards securely attached, with the entire card completed. Make sure Unit Level is indicated, as well as number of years in project.

Exhibit Hall Entry Forms
In order to have an efficient Fair, please follow the instructions below. Fill out the large double entry form legibly and print only in ink. This should include all exhibits by members of your club.

- Print member’s name
-List all of that person’s projects together
- Skip a line between each member
- Please note on the top of this form if you are going to have a Club Exhibit
- Retain yellow copy for your files
- Return the original (white) to the Extension Office by SEPTEMBER 3rd.

Your assistance with these forms will ensure our volunteers’ efficiency and accuracy in computing fair checks.

Life Skill Wheels
Teaching kids life skills is what 4-H is all about and this is one way to help capture the great work you are doing with youth. It is important that these are filled out for every project. This is the information that gets reported to the state and federal government to help insure our funding each year. We really do appreciate the time that goes into filling these out.  It makes our job easier when it comes time for reporting what youth’s are doing in our county. Thanks for your help with this and please let us know if you have questions or if we need to attend one of your club meetings to help out.

Club Exhibit
Please note on the top of the Cumberland Fair Exhibit Form if you are going to have a Club exhibit. Club Exhibits should illustrate some phase of 4-H Club work. The main idea behind a Club Exhibit is to provide the club the opportunity to display as a total unit.

Judging Day
1. Exhibits should be brought to the 4-H Hall between 9:00 a.m. and 12:00 noon, Saturday, September 25th.

2. Judging orientation begins at 12:15 p.m. Only judges will be allowed in the hall at that time until judging is completed.

3. Volunteers are needed at 9:00 a.m. to help check-in projects as they arrive (see Volunteer Information sheet).

4. Volunteers are needed at 3:00 p.m. to arrange the hall after judging (see Volunteer Information).

Note: If your display is larger than the tri-fold display board (36” x 48”),
please contact the Extension office at 781-6099 or 1-800-287-1471 by September 3rd.

Leader Information

  • Leader Passes will be issued when you check in at the exhibit hall on Saturday. Leaders with livestock entries should contact the livestock superintendent/office for gate pass information.
  • Premium checks Livestock members must check with the Cumberland Fair Livestock Superintendent/office regarding picking up their premium checks. Club leaders may pick up their exhibit hall premium checks from Sarah Sparks, Sunday October 2nd, from 9:00 a.m. to noon.
  • Leader Start-Up Packets for the new 4-H year will be available for leaders to pick up at the 4-H Exhibit Hall Saturday, September 24th from 8:30 a.m. – 4:30 p.m. They may also be picked up at the 4-H Exhibit Hall daily.
  • Livestock Entry Forms are due by September 1st- (NO Late Entry Forms will be accepted this Year!)

 Parade Information

Rules:
a. Review the Parade information in the 4-H Section of the Fairbook.
b. Floats must be ready and on grounds at 8:00 a.m. for the judging at 8:30 a.m., Saturday, October 1st.

Parade and Float Entry Forms:
a. Please fill out the Parade entry form and create a short, TYPED, commentary for your float, and mail to: Cindy Frye, 10 Keswick Road, South Portland, ME 04106. This form must be mailed to her by September 7, 2011.

b. Please indicate on the parade entry form that it is a 4-H float.

Volunteer Information

Cumberland Fair is a great place to showcase 4-H. One of the best ways we can show off is by demonstrating our team effort in 4-H. There is much to do at the Fair and here are some ways to help:

  • We suggest that clubs volunteer for a specific time slot and invite family members, friends, and grandparents to volunteer with the 4-H members. There are activities in the Exhibit Hall, which Sarah Sparks coordinates. You may contact Sarah at sarclark@yahoo.com or 926-3077 if you or anyone from your club is interested in volunteering in the Hall.
  • The expectation is that every club will participate in helping out in the 4-H Kitchen. Nicole Foster is responsible for the kitchen schedule so you can call Nicole at  615-7558 or nicolefoster@myfairpoint.net to schedule your work time in the 4-H Kitchen during Fair week.
  • If you would like to volunteer selling tickets in the 4-H Raffle Pig booth, Leslie will be taking those sign ups. Please contact Leslie at 693-6108 or lesandted@roadrunner.com.

WORKDAY PLANNED:
There will be a “Work Day/Evening” Thursday, August 18 from 5:00pm to 6:30pm for 4-H’ers, leaders, parents, grandparents and friends at the fairgrounds. Pizza, drinks and dessert will be provided from 6:30pm- 7:00pm for all those who come and help. The hall always needs a good cleaning for the fair.

PROMOTING 4-H:
The Fair is a great opportunity to get 4-H before the public eye and show people 4-H makes a difference in the community and that club members are developing superior citizenship skills. If your club has participated in a community service project and has display materials depicting the project, please include them in your club display.

RAISING MONEY FOR OUR COUNTY PROGRAMS:
It can’t be said often enough that the Cumberland Fair provides the Cumberland County Leaders Association an opportunity to raise a large amount of money. This is the only fundraiser that Cumberland County 4-H Leader’s Association sponsors all year. This money provides for the largest part of the Leaders Association budget and supports County Awards, Citizenship Washington Focus, Camperships, Teen Conference, 4-H Congress and Conference, 4-H Tech Conference, Mini-Forum, County Events, and Leader Forums. We really need volunteers to make the fundraising a success, so please pitch in and help us make the 4-H program in Cumberland County even stronger.

KITCHEN COMMITEE MEMBERS NEEDED:
The Kitchen Committee is looking for a few new members. The Committee works on ordering food, getting the kitchen ready before the fair, scheduling, supervising shift changes, and many more fun things! We really need a few more members to help our kitchen run smoothly during fair week. Parents, grandparents, neighbors, friends, former 4-Her’s are all welcome to join! Please call Leslie McConnell at 693-6108 if you think you’d be able to help.
